About personal information protection

Handling of Personal Information

The Association asks our customers for their personal information as we conduct our activities with them. The handling of personal information is done in strict accordance with the Personal Information Protection Law, as explained below:

1 Basic Policy for the Handling of Personal Information

The Association declares its privacy policy. At the same time, in order to fully implement the policy, we have prepared the implementation program and ensure that all our members and parties involved thoroughly understand and follow the program. We will also continue to implement and improve the privacy policy.

2 Acquisition of Personal Information

  • 2.1The Association obtains personal information through fair, legitimate means, without ever using illegal means.
  • 2.2When obtaining personal information in writing directly from our customers, the Association explicitly describes the purpose(s) of use and contact for inquiry. For any other occasions the Association's website publicizes the purpose(s) of use and contact for inquiry.
  • 2.3It is our customers' free will to provide personal information to the Association. However, please be advised that if personal information is not provided to the Association we may not be able to provide adequate services.

3 Personal Information Possessed by the Association

  • 3.1The Association obtains personal information from our customers as we conduct our activities with them.
  • 3.2The Association may obtain directories available on the market.
  • 3.3It is our customers' free will to provide personal information to the Association. When personal information (including the matters listed below) is not provided to the Association, we neither attempt to obtain, use or give away such information to third parties without the customer's consent.

    (a)Matters related to thoughts, faith and religions

    (b)Matters that can cause social discrimination, including race, family status, domicile by birth (excluding the current residence information such as the metropolis and district), physical and mental disabilities and criminal records;

    (c)Matters related to participation in group manifestation, executing one's right of petition and any other political right;

    (d)Matters related to health, medical care and sexual orientation.

4 Purposes of Use of Personal Information Possessed by the Association

    The Association will personal information for the following purposes. The Association will not use the informaiton beyond the scope of the purpose of use clearly indicated to the individual. In addition, when more detailed information notification is required for each separate producut or website, the purpose of use, etc.will be announced or notifiled separately.

  • 4.1Purpose of use when obtained in conjunction with dissemination activities or contracts
  • - Conducting invitations and surveys for campaigns and events
    - Performance of contracts with customers

  • 4.2When automatically obtained by a website
  • - Member registration of an exclusive site

  • 4.3When acquired through inquiries
  • - Responding to inquiries about our cetified products and services.

5 Nondisclosure/Non-provision of Our Customers' Personal Information to Third Parties

Principally, we neither disclose nor provide the personal information provided by our customers to third parties, except for the occasions listed below:

  • 5.1When we have consent from our customer;
  • 5.2When outsourcing the handling of all or part of personal data within the scope of necessity for the Association to accomplish the purpose(s) of use;
  • 5.3When personal data is provided due to the succession of activities because of the business situation, such as a merger;
  • 6 Safety Measures for Personal Information Possessed by the Association

    The Association implements the safety measures from the organizational, technological, humanity and geographical points of view.

    • 6.1The Association takes rational safety measures and necessary corrective actions in order to prevent illegal access to, loss of, damage to, manipulation of and leakage of personal information. However, please note that there is currently no absolute technology by which illegal access can be prevented.
    • 6.2The Association provides our employees with education pertaining to the protection of personal data, and such education is conducted on a regular basis.
    • 6.3When outsourcing the handling of personal data, the Association makes necessary agreement(s) with an appropriate outsourcing company and undertakes all other measures required by law.
    • 6.4Collection of Personal Information via the Website

      (a)Encryption
      When obtaining personal information from the Association's website, we use Secure Socket Layer (SSL) encryption so that the customer can safely transmit his or her personal information.

      (b)Cookies
      The use of cookies is necessary for customer interaction with certain areas of the Association's website. A cookie is a small information file exchanged between the customer's PC and the site. Cookies are used only to memorize information that is useful for the customer when he/she visits the Association's website at a later time, whereby the website usage conditions are optimized. If you do not want to use cookies, simply change your browser setting to stop using them. However, by doing so you might not be able to access some of our services.

      (c)Using Google Analytics
      Google Analytics is one of the tools used to collect and analyze access logs to improve our website and increase customer convenience. Google Analytics uses cookies and does not contain personally identifiable information. The logs collected are managed in accordance with Google's privacy policy.

      (d)Links to Other Websites
      Although part of the Association's website has been linked to other websites, we are not responsible for the manner in which those sites handle personal information.

      (e)IP Addresses
      The Association's website may use the IP address of your PC or smartphone device. However, when IP addresses are combined with other information to obtain personal information, we will explain the necessary information to the individual and obtain his/her consent.

    7 Customer Service Desk for Personal Information Inquiry

    • 7.1You may make the following requests regarding your personal information held by the Association.
    • (a)Notification of purpose of use of personal information
      You may request to be notified of the purpose of use of the personal information you have provided

      (b)Disclosure of Personal Information
      Customers may request disclosure of personal information they have provided. When disclosing such information, unless otherwise specified by the customer, the information will be disclosed by electromagnetic means (e-mail attachment).

      (c)Correction, addition, or deletion of personal information
      You may request the correction, addition, or deletion of part or all of your personal information held by the Association. However, if such information has already been disposed of, we will not be able to respond to your request.

      (d)Suspension of Use of Personal Information
      You may request that we stop using your personal information held by the Association. However, some services may become unavailable. We will stop using your personal information if we explain this to you and you understand the situation.
